Full Time Receptionist and Secretary to Managing Director

An exciting job opportunity has become available at the Amy Foundation, Athlone, Cape Town. We are recruiting for a full time, experienced, vibrant, well-organised, proactive, solution driven and attention to detail individual to occupy the Receptionist and Secretary position within a fast paced and dynamic working environment.

Duties and Responsibility
• Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately
• Answering, screening and forwarding incoming phone calls
• Receiving and sorting daily mail
• Ensure reception area is tidy at all times
• Maintain office security by following safety procedures and controlling access via the reception desk
• Managing the Managing Director and Chief Operations Officer electronic diaries effectively and efficiently daily
• Utilization of the message book for all general enquiries and all messages are relayed timeously to the relevant people
• Arrange travel and accommodation
• Updating staff contact details regularly and distribute timeously
• Ensure there are sufficient internal brochures and forms in reception e.g. Vendor, cheque requisition etc
• Birthday vouchers and cards are prepared on a monthly basis for the upcoming staff birthdays
• Updating client database daily
• Managing office printing and stationary requirements
• Develop and maintain positive working relationships with organisations, stakeholders, staff and visitors
• Timeously liaise with courier company and ensure parcels and documents collected and delivered
• Perform other receptionist and secretarial duties such as typing, photocopying etc

Minimum requirements:

• Matric
• Minimum of proven 2-3 years’ experience within a similar role
• Proficiency in Microsoft Office eg Outlook, Word, Excel and Powerpoint
• Excellent communication skills (verbal and written) in English and at least one other South African language
• Professional attitude and appearance
• Ability to be proactive and resourceful when issues arise
• Excellent organisational skills
• Multi-tasking and time management skills with the ability to prioritise tasks
• Customer service attitude
• BEE position

Basic Salary
Dependent on experience

Hours of Work
Monday – Thursday: 08:30am – 17:00pm
Friday: 08:30 – 15:00pm

Commencement of position
As soon as possible.
